Annex 1 to the Membership Agreement. Complete one per member per hub visit or role. Read alongside the hub’s completed Agreement 1 Annex 5 — Hub DNA — that document is the place introducing itself; this one is the member introducing themselves to it. File completed documents as: “A2-1 — Member Onboarding — [Name] — [Hub Name].md” in the Hubs/[Hub Name]/People/ folder.
This document is read by the steward before a member arrives. It makes contribution legible, conditions known, and story visible — so the community can receive the person as they actually are, not as a generic participant.
This is not a form. It is a conversation that happens on paper before the real conversation begins.
Member Onboarding Record — [Full Name]
Hub: [Hub name — link to completed Agreement 1 Annex 5 — Hub DNA] Arrival date: [DD/MM/YYYY] Intended duration: [e.g. 3 weeks / seasonal / ongoing] Membership status: [Active — since MM/YYYY] Completed: [DD/MM/YYYY] Reviewed by steward: [Name — DD/MM/YYYY]
Insurance note (read before arrival). The Association’s insurance (Agreement 2 §6) covers you during official volunteer activities — organised work sessions, programmes, and tasks assigned or recorded by the steward. It does not cover personal time during a stay. If in doubt whether an activity is covered, ask the steward before starting it.
The Person — Who I Am
Not your CV. Who are you when you’re most yourself? What world do you come from, and what are you moving toward? Write in first person. The steward and the community will read this before you arrive.
[3–5 paragraphs. Include where you live, what you do, what you care about. Name what brought you to this network — not the logistics, but the real reason. What are you looking for here that you haven’t found elsewhere?]
What I Bring
The relational economy runs on visible contribution. This section makes yours legible — not to create a transaction, but to let the community know how to receive you.
Practical skills I can offer:
- [e.g. Carpentry, plumbing, building repairs]
- [e.g. Cooking for groups — comfortable with 20+]
- [e.g. Market gardening, seed saving, composting systems]
- [e.g. Facilitation and group process]
- [e.g. Documentation, photography, storytelling]
- [Other — be specific]
Knowledge I carry:
- [e.g. Permaculture design — PDC completed]
- [e.g. Herbalism — wildcrafting and preparation]
- [e.g. Italian Third Sector law]
- [e.g. Whatever is true for you]
What I’m still learning:
- [What you don’t yet know but are working on. Honesty here is a gift — it helps others know where to meet you.]
Languages: [List with approximate fluency levels]
What I Need
Your conditions for good presence. Not demands — information. A community that knows what you need can actually give it to you.
Dietary needs and preferences:
- [Allergies, intolerances, choices — be specific]
Physical and accessibility needs:
- [Anything relevant to the physical environment, mobility, sleep, noise sensitivity, etc.]
How I communicate:
- [e.g. I need time to process before responding to conflict — don’t expect immediate answers]
- [e.g. I’m direct and tend to name things quickly — this is not aggression]
- [e.g. I find large group processes draining — I’ll often contribute more in small groups or one-on-one]
What restores me:
- [e.g. Time alone in the morning before communal life begins]
- [e.g. Physical work — I process through my body]
- [e.g. Long walks, silence, water]
What I find difficult:
- [e.g. Sustained noise or music in shared spaces during work time]
- [e.g. Ambiguity about expectations — I do better with clear structures]
- [Name it honestly. This is not weakness — it is useful data.]
My Rhythms
Where the Hub DNA describes the rhythm of the place, this section describes the rhythm of the person. Good matching between the two prevents unnecessary friction.
I work best:
- [Morning / afternoon / evening]
- [Alone / in small groups / in teams]
- [In long focused blocks / in shorter varied sessions]
My non-negotiables:
- [e.g. Eight hours of sleep — I become unreliable without it]
- [e.g. A daily practice — 30 minutes each morning before communal life]
- [e.g. One afternoon per week of completely unstructured time]
How I handle conflict:
- [e.g. I tend to go quiet when something is wrong — if you notice this, ask me directly]
- [e.g. I process by talking — I may need to speak before I know what I think]
- [e.g. I was trained in NVC and try to use it — I appreciate it when others do too]
My Covenant — Personal Commitments
The Hub DNA names the covenant the place makes with everyone who enters. This section is yours to write: the specific commitments you are making to this hub, this community, and this stay. Not the generic obligations of the Membership Agreement — those are already signed. These are the personal ones.
Write in first person. Be specific. These become the measure you hold yourself to.
- I commit to […]
- I commit to […]
- When I find this difficult — and I will — I commit to […]
- What I am asking from the community in return: […]
My Ecological Practice
The land notices how we live on it. This section names where you are in your relationship with the non-human world.
What I already practice:
- [e.g. Low-meat diet, composting, no single-use plastics, cycle rather than drive]
- [Be honest — this is not a test]
What I want to deepen here:
- [e.g. I want to learn to read soil — I’ve never worked on land before]
- [e.g. I want to practice slowness — I live fast and I know it]
- [e.g. I want to understand water systems]
My Contribution Capacity
Transparency about time and resources, so the community can plan honestly and so the steward can make good use of what you bring.
Time I am offering:
- Hours per day available for shared work: ___
- Duration of this stay / commitment: ___
- Flexibility: [e.g. I can extend if the hub needs it / I have a hard departure date]
Financial contribution:
- My capacity: [Full / Partial / Work exchange — be honest; no judgment]
- Notes: [e.g. I am between projects right now; I can contribute more next season]
Skills I am prioritising to offer this stay:
- [e.g. This time I want to focus on kitchen and food — I’m not available for building work]
- [Being specific helps the steward plan]
My Story — How I Arrived
A brief account — for the hub’s living record — of how you found your way here. What was the path? Who introduced you? What were you looking for?
[1–3 paragraphs. Personal, honest. This becomes part of the hub’s human record — the thread of how the community is built, one arrival at a time.]
Contributions made during this stay are part of the Member’s Network Passport and are carried forward across hubs and roles. Previous versions of this document are retained as part of the hub’s human record.
Annex 1 to the Membership Agreement. Governed by the General Terms and Conditions.
